Privacy Policy

How we handle your data.

Form AI LLC runs an AI fluency coaching practice that includes 1-on-1 coaching, small-group workshops, and custom enterprise engagements. To do that, we collect information about the people we work with and a small amount about visitors to formai.build. This policy explains what we collect, how we use it, and who we share it with.

What we collect.

What you tell us, what you share with us in sessions, and payment information that Stripe handles.

When you contact us, book a session, or work with us, we collect information you provide. That includes your name and email, anything you share during an intake call or by email, and the content of our sessions together (notes, recordings, and materials you share with us).

When you pay us, Stripe handles your payment details. We do not see or store your card information.

We may also receive limited information about you from third parties, such as when a current or past client refers you to us.

How we use it.

To run sessions, write up notes, send invoices, improve how we work, and comply with the law.

We use your information to deliver the work we are doing together: preparing for sessions, running them, writing notes afterward, staying in touch between sessions, and sending invoices. We use aggregated and anonymized information to improve our coaching methods and content. We use information as required to comply with applicable law.

Who we share it with.

Service providers that help us run the practice, anyone you tell us to share with, and the parties involved if the business is sold or transferred.

We do not sell your personal information. We do not share it with marketing partners.

We share information with service providers that support our operations, including cloud storage and collaboration platforms, AI providers, video conferencing tools, scheduling platforms, payment processors, and email and calendar services. Our current providers include Notion, Anthropic (Claude), Zoom, Google Meet, Calendly, Stripe, and Google Workspace. We require these providers to handle your information consistent with this policy, and we do not feed your content into AI tools that train on customer data.

We may share information when required by law, legal process, or to protect our rights or the rights of others.

If Form is acquired, merges with another business, or transfers significant assets, your information may be transferred as part of that transaction. We will let active clients know if this happens.

Your choices and rights.

Ask us what we have, ask us to correct it, opt out of recording, and contact us if you want anything else handled.

You can ask us what information we have about you. You can ask us to correct anything that is wrong. You can ask us not to record a specific session, or to keep specific materials out of our AI tooling. You can unsubscribe from any non-essential email we send. We will work through any reasonable request with you.

Residents of California, Virginia, Colorado, Connecticut, and a growing list of other states have specific rights around their personal information under state law. These typically include the right to know what information we have, the right to correct or delete it, the right to data portability, and the right to opt out of sale (we do not sell). Those rights apply to how we handle your data. To exercise any of them, write to info@formai.build and we will respond within 45 days.

Where your data lives.

In the United States and possibly other countries, depending on the service providers involved.

Form is based in the United States. Our service providers may store and process information in the US or in other countries. We rely on those providers' commitments to safeguard your data wherever it is held.

Children.

Form's services are for adults.

We do not knowingly collect information from anyone under 18. If you believe a minor has shared information with us, write to info@formai.build and we will delete it.

Changes to this policy.

We may update this policy from time to time. We will change the date at the top when we do, and for active clients we will send a short note explaining what changed.
